An ID Card Management System for Student Enrolment and Plastic Card Printing

A chain of higher education language schools that provided in-person courses that lasted for a range of time. The campuses were located across 26 different countries and therefore had a high output of students. 

Originally, student ID was manually moved between online reports to spreadsheets, which were then sent to each individual campus for printing. This was a time-consuming process that took away from other tasks.

The education provider required a system of ID cards that would centralise student data, provide a high level of security, be compliant with GDPR, be multilingual and futureproof, and provide physical plastic ID card printers on 15 of the 26 sites.

Understanding the need for flexibility and saving time were key factors in finding the ideal solution.

Plastic-ID recommended an ID printing and management system that would suit the requirements of the organisation. The Semieta software allowed the school to collect each student’s information and data from their application forms. The software was compliant with international security standards (which was a main requirement due to the various countries that the business operated in) yet is still flexible enough to satisfy the demands of the business and the several languages it encountered.

An enrolment programme was installed online so that when a student entered their data, it went directly to the student management system, saving the time it took to enter the data onto a spreadsheet, as well as reducing the risk of manual errors and saving resources. Instead, the information on each student was sent directly to the appropriate campus, ready for printing onto student passes.

15 campuses across the world required ID card printers and Plastic-ID supplied USB-ready Zebra printers. These printers were identified due to their reliability and robustness, as they allowed the campuses to handle the high volume of student passes being produced. 

In addition to the printers, we set up centralised consumables ordering system to prevent any time wasted finding local suppliers. Each different campus could request the blank cards, ribbons and cleaning kits they needed from one place, leaving Plastic-ID to sort and separate them and ensure they all went to the right countries. This reduced the resources that were required for the organisation’s finance team.
